Determine how many faxes you and your employees typically send and receive per month, and research offerings from fax providers like eFax, MyFax, RapidFAX and RingCentral to find one that fits your needs. Many providers offer monthly plans that start as low as $4.95 a month, or you can sign up for a yearly plan and save a percentage on your overall costs.

Investigate features and benefits like online fax storage, the file formats supported, customer service availability and security, and determine whether you want to use a toll-free number for your fax system, or a local number. Toll-free plans are typically more expensive but are beneficial to your clients and customers because they can avoid long-distance charges when they send faxes to you.

Sign up for a free trial with the fax providers that meet the needs of your company.

Open a new email, and type the receiving fax number into the "To" line of your blank email, followed by the "@" sign, followed by the domain name of your fax provider. Include the area code or country code as well. The fax number is now in the format of an email address.

Enter a subject in the subject line of the email and any text you need to include in the body portion of the email.

Use your email program's attachment procedure to attach the files you are "faxing."

Press "Send" to transmit your fax to the phone number you indicated in your email's "To" line.
