Contractual changes should always be amended. One way to record these changes is by memorandum for the record (MFR or sometimes MR). A MFR helps personnel stay informed about key issues. Memorandums of contracts aid in recording changes discussed by telephone calls, emails and verbal communication until such time that the amendments can be properly filed. You can create your own memorandum for the record of a contract.

  1. How to record a memorandum of contract

      Create a new page for the memorandum. Set font type and size as near the original contract as possible. Set margins to 1" at the right, left and bottom. Leave a 1 and ¼ inch top margin.

      Title the memorandum with key words of significance. This will ideally be the "TO:" heading. It will immediately explain who needs this information.

      Include the date of the memorandum, in the top-left corner.

      Create a "FROM:" heading and designate who generated the memorandum.

      Create a "SUBJECT:" heading. Describe to your readers what the memorandum is about specifically. Define exactly what issues will be addressed.

      Include an introductory paragraph describing the purpose of the memorandum.

      Generally, memorandums are only one paragraph. But, if you can not adequately describe all of the elements that need to be recorded, number your paragraphs.

      Memorandums do not typically need to be signed. But, it is customary to place your initials after the end of the record. You can find a sample " MEMORANDUM FOR ALL CADETS" memorandum for record-describing contractual policy changes.
