If you use a different number of computers for playing the same PowerPoint presentation then you may find that the font appears different each time. To avoid this happening you must save or embed the fonts you wish to use within the PowerPoint file. This ensures that the font will appear the same on any computer that plays the presentation. You can also embed personal fonts you download or purchase. This provides an individual touch to your presentation that many professional users consider akin to the use of a business card.

      Locate the font that you wish to use in your PowerPoint presentation. If it is not already installed on your computer, install it following the instructions that came with the font file.

      Embed fonts in PowerPoint 2003 by clicking on “File” in the upper left-hand corner of the toolbar, then selecting “Save as”. In the “Tools” menu that pops up, click “Save options”. Select the option named “Embed TrueType fonts” and then select “OK”. This will embed the fonts you have chosen into the file. Save the file.

      Embed fonts in PowerPoint 2007 by first clicking on the Microsoft Office icon in the top left of the screen. Select “Save as” from the drop-down menu that appears. Click the “Tools” option and then “Save”. Select the small box next to “Embed fonts in file”; an options screen will appear, confirm “OK”. This will embed the fonts into the file. Save the file.

      Create your PowerPoint presentation using the fonts that you have applied. This is how your presentation will look once printed or viewed on any other machine. To ensure you like the appearance, view the file in "Print Preview". Edit your text as needed.

  • If you embed fonts into a presentation it will considerably increase the size of the file.

  • Only fonts that do not have license restrictions can be embedded.
