How to Create New Custom Stationery for Outlook 2007

Microsoft Outlook 2007 has a number of useful features which allow users to take control of their email and become more productive. Unfortunately, those who enjoy customizing their email messages may be disappointed to discover that Outlook 2007 does not contain a way to create custom stationery within the program itself. This does not mean that you cannot create custom stationery for Office 2007; it simply must be created outside of the program and then placed in the Office 2007 stationery folder so that the program can use it.

      Open your HTML editor and create a new blank document.

      Use the HTML editor's tools to create the stationery background that you want; the specific tools that are available to you will depend on the editor that you are using.

      Save your HTML file in the "C:\Program Files\Common Files\Microsoft Shared\Stationery" folder, with "C:" being the drive that Office 2007 is installed to. Make sure that you save your stationery with the ".htm" extension.

      Open Outlook 2007 and open the "Tools" menu. Click the "Options..." item to open the Outlook Options window.

      Click the "Stationery and Fonts" button on the "Mail Format" tab. This will open a new window.

      Select the "Personal Stationery" tab. Click the "Theme" button near the top of the screen in order to open a new window which lists all of the stationery that is installed on your computer.

      Click "OK" to accept the new stationery as a default. You will now be able to use it whenever you create a new email message in Outlook 2007.

Tips & Warnings

  • Use light or muted colors in the background of your stationery to avoid overwhelming recipients when you use the custom stationery in your email.

  • Keep any images in your stationery located near the top or middle of the HTML file so that they will appear even when used with short emails.

  • Stationery can also be used without setting it as a default. Select the "New Mail Message Using..." option located under the "Actions" menu item. Click the stationery you want to use.
