How to Embed Fonts in a PDF File

If you want the same fonts in your original document to appear in a PDF file, you must embed these fonts into the PDF file. To embed fonts in a PDF file while retaining the ability to edit its attributes, you must have that font installed on your computer. If not, you will only be permitted to make changes to margins, character spacing and word spacing.

      Go to the "Tools" menu, scroll down to "Advanced Editing" and select "TouchUp Text Tool."

      Use your mouse to select the text that contains the font you want to embed. A box with a blue border will surround the text.

      Hover over the selected text, right-click and select "Properties."

      Select the "Text" tab in the "TouchUp Properties" dialogue box.

      Select the fonts you want to embed from the Font drop-down menu. Check the "Embed" button.

      Click "Close."

Tips & Warnings

  • If you embed all fonts, users can view and use the fonts even if it is not installed on their system; however, using this function will increase the file size. To reduce the file size, only embed fonts used in the document.

  • If you receive the message "Cannot embed font" on an existing PDF file, it indicates a license restriction where the creator set security options to prevent you from editing the file.
