How to Cancel Vendor Contract Services
Major events (such as weddings, for example) require careful planning, regardless of their size or complexity. Vendors are used for a variety of services, including catering, flowers, photography and sometimes a professional planner. Choosing the correct vendor for any specific service can be time consuming, and if the services of that vendor need to be canceled, it can be a difficult task. Be direct when working with vendors, and read every contract before signing to understand all aspects of the agreement.

Review the signed contract to determine any specific method of communication required by the vendor for canceling. Many vendors require a cancellation in writing. Some will charge a fee if a cancellation is made within a specific time frame--usually 30, 60 or 90 days prior to the event.

Call the vendors directly and let each know you need to cancel their service. Be specific about why, as some vendors will give a full refund if it is a cancellation due to illness, accident or other uncontrollable circumstance. If the cancellation is due to poor service or response from the vendor, that is important for them to know as well, so improvements can be made for future customers.

Write and send a dated letter of cancellation to the vendor. Keep a copy in case any question arises later about the date it was sent. If you are particularly concerned about a vendor, require a signature to verify the letter has been received.
