How to Recover Deleted Email With Outlook Web Access

Outlook Web Access allows users to access their Microsoft Outlook emails from any computer with an Internet connection. Once logged into Outlook Web Access, users have the same options for managing emails as those available with the Outlook desktop client. These options include responding to emails, moving items to different folders and deleting items from the Outlook inbox. Emails deleted unintentionally can be retrieved by accessing the "Recover Deleted Items" folder of the Outlook Web Access interface.

      Click on the "Deleted Items" folder in the left navigation pane of the Outlook Web Access interface. This folder contains recently deleted emails and other Outlook items. If the deleted item is found in this folder, simply drag it from the Deleted Items window back to the "Inbox" folder in the navigation pane. If the deleted item is not found, proceed to the next step.

      Click on the "Recover Deleted Items" icon in the menu bar to see items no longer in the "Deleted Items" folder. The icon is located to the right of the "Recycle Bin" icon in the menu bar. Be sure not to click on the "Recycle Bin" icon as this will empty the "Recover Deleted Items" folder.

      Locate the deleted email or other Outlook item in the new "Recover Deleted Items" window that opens. Select the item to be recovered and click "Recover" in the menu bar. To select multiple items for recovery, press the "Control" key while selecting the items using the mouse.

      Close the "Recover Deleted Items" window and click on the "Deleted Items" folder. The recovered items will now be in this folder where they can be moved back to the inbox or other folder in the navigation pane.

Tips & Warnings

  • Emails and Outlook items deleted permanently by pressing "Shift" and "Delete" on the keyboard are not moved to the default "Recover Deleted Items" folder. These items can be recovered from an alternate folder accessed from a specific Outlook Web Access URL. The details of this URL depend on your company's server name and your user name. To recover items from this folder, consult your company's system administrator for the necessary information.

  • Depending on the settings implemented by your company's system administrator, items in the "Recover Deleted Items" folder will be permanently erased periodically. If the item you are trying to recover is not in this folder, consult your system administrator for further assistance.
