How to Share Microsoft Outlook on Another Computer
Microsoft Outlook is a powerful personal-information management tool used to keep track of appointments, contacts and email. Sharing Outlook information with others can be a challenge, unless your business is running Microsoft's Exchange Server. Running Outlook on an Exchange Server requires a trained computer specialist to install and configure the software. Less expensive options exist to share Outlook calendars with others. Using the Internet or a local area network (LAN), you can use Outlook's calendar publishing features to share our Outlook calendar with co-workers and friends.

Outlook Free/Busy Publishing

Open Outlook and select "Tools" and "Options" from the menu.

Click the "Calendar Options" button from the Preferences tab in the Options window.

Click the "Free/Busy Options" button at the bottom-left corner of the Calendar Options window.

Enter how much of your calendar you want to be visible to others by entering the number of months to show in the "Publish" field and how often to update the shared calendar in the "Minutes" field.

Place a check by the "Publish at my location" check box under "Internet Free/Busy."

Type the address of the FTP site for your web server. The address format should be, ftp://My server/Freebusy/My name.vfb. If your FTP server requires a login, the format should be, "ftp://User:Password@ftp.domain.com/Users folder/Freebusy/My name.vfb."

Click the "OK" button to close each of the "Free/Busy Options," "Calendar Options" and "Options" windows.
Save Outlook Calendar to Web

Select your calendar in Outlook by clicking the "Calendar" shortcut from the shortcut menu in the lower-left corner of the Outlook desktop.

Select "File" then "Save as Web Page" from the main menu.

Enter the date range for the calendar using the "Start Date" and "End Date" fields.

Choose publishing options by checking or un-checking the "Include appointment details" and "Use background graphic" check boxes in the Options section of the dialogue box.

Enter the name of the calendar and click the browse button to designate the folder where you want the HTML page saved. Copy this folder to your web server.

Tips & Warnings
Instead of using a web server accessed through FTP, create the free/busy file on a local area network. Simply type the path to the local file, instead of the FTP site.
