How to Alter the Order of Pages in a Long Word Document

A long document is a master document that includes two or more sub-documents. Sub-documents help you manage long documents more easily. By using Microsoft Word's outline view, you can expand and collapse the contents within the sub-documents and drag each section to the page you'd like it to appear. You can lock and unlock sub-documents to protect the arrangement within your Word file. This tutorial assumes you've already created a long (master) document you want to rearrange.

      Go to Microsoft Word and open the long document you're working on.

      Click on "View" and "Outline" to display the "Outlining" toolbar. Make the sub-documents visible by clicking on the "Expand" button in the toolbar.

      Move a sub-document to another page by clicking on the sub-document icon to select it. Then drag the icon to another location in the long document. Your page numbers will be renumbered appropriately.

      Add page numbers to the long document by going to the first sub-document within the file and selecting "Insert" and "Page Numbers." Choose the position, alignment and format you want to use. To display the page number on the first page, place a check mark by "Show number on first page." Otherwise, uncheck it. Click on "OK" to accept the changes.

Tips & Warnings

  • To lock or unlock your long document, click in the area you want to modify and select the "Lock Document" button in the "Outlining" toolbar. If you don't see the "Lock Document" button in the toolbar, click on the "Toolbar Options" arrow (on the right of the "Outlining" toolbar) to expand it. Then select the button.
