How to Create an Image of an Excel Spreadsheet

If you are using Excel to create a workbook or report for someone, you may need to create an image of a spreadsheet to show your progress. There is no option within Excel to directly do this, but you can easily create an image of your work by taking a screen shot.

Instructions

      Open the Excel spreadsheet you wish to create an image of.

      Click the "View" tab from the toolbar at the top of the page and click the "Zoom" button, so you can zoom in or out to make the spreadsheet fit your screen.

      Press the "PRTSC" (Print Screen) button on your keyboard to create an image of the spreadsheet (depending on your computer, you may need to use a combination of keys to access the Print Screen function).

      Open the Paint program included with Windows. Press the "CTRL" and "V" buttons at the same time to paste the image into Paint. You will now see the image of your Excel spreadsheet (you could also paste it into another program, such as Word).

Tips & Warnings

  • You can crop the image to show only the spreadsheet if you don't want the toolbars to show up. Click the "Select" button in Paint and drag the cropping tool around the spreadsheet and click "Crop."
