How to Import to QuickBooks
QuickBooks is financial software that is widely used in office environments to keep track of information like employee payroll, business inventory, vendor payments and client accounts. If you have data in another spreadsheet or financial program, such as Microsoft Excel or Peachtree, that you would like to add to your QuickBooks file, the built-in import feature in QuickBooks makes it simple to do so.

Create files for each category of data that you would like to pull into QuickBooks, such as vendors, customers or accounts. These categories must be in separate files in order for them to be imported into QuickBooks correctly. QuickBooks specifies the headings and types of data required for those fields to import properly on the product's website.

Save your prepared data files into a file format that QuickBooks can recognize. Comma-separated values, or CSV, is a file format that QuickBooks can recognize and that is available in many spreadsheet and accounting programs. To save your original data files as CSV, go to the "File" menu in the program and select the "Export" option (or "Save as" option, depending on which program you are in), select the ".csv" option as the "Save as" or "Export as" format and save the file to your computer.

Make a copy of your QuickBooks file if you already have data entered into the file. As soon as you import new data, QuickBooks automatically integrates it into the other stored data and the import cannot be undone. By creating a backup file, you have a copy of the original QuickBooks file on hand in case it needs to be restored. The QuickBooks file copy can be made by either saving the file to an external device, such as a jump drive or external hard drive, or by simply going to the "Save as" option under "File" and saving the file under a different name on your hard drive.

Open the "Import/Export" function in QuickBooks. "Import/Export" is found under the "File" menu. When the window opens, choose "Import."

Upload each CSV file into the import wizard and press the "Import" button on the final screen of the "Import Data" wizard. QuickBooks will import the data from the CSV file into the QuickBooks spreadsheet.
