How to Deliver a PowerPoint Presentation

PowerPoint presentations are simple to create and easy to edit. They add a professional touch to any project or speech, and allow the presenter to show pictures, sounds and movies, as well as navigate to external Web sites.

      Prepare index cards with notes elaborating upon the PowerPoint Presentation. The slides should contain quick, easy bits of information, while the index cards should contain the majority of what you will say.

      Begin the presentation by clicking "View" on the main toolbar and selecting "Slide Show," or simply press F5.

      Introduce the subject matter and the content of the presentation while displaying the title page. Use your index cards to help, but don't read straight from them as this will hinder you from engaging with the audience. There's no need to read the title aloud; it should be clear and easy to read on the opening slide. Click on the screen to move to the next slide.

      Right click and select "Previous" to go back if you need to clarify a point, or if you make a mistake.

      Type Ctrl + P to operate a pen feature. This will allow you to draw on the previously completed slides. This is useful for underlining important points or making simple diagrams. Practice in advance anything you may want to draw.

      Click the last slide to end the show. Click again to exit the presentation.

    Links, Videos and Sound

      Check that any embedded links, videos and sound clips are working ahead of time. Check them again just before the presentation, if possible. For web sites, be sure to know where on the page the important information is located so you don't waste time searching in front of the audience.

      Discuss the relevance of the media before showing it to the audience. Don't start a movie or sound clip before explaining why it is important to the presentation.

      Let the whole video or sound clip play without interruption.

      Expand upon the important points in the media once it is finished playing. Then, invite questions before moving on.

Tips & Warnings

  • Practice the show ahead of time. It may help to memorize your index cards, but be sure to keep them at hand in case a question or mistake gets you off track.

  • Pause at the end of each slide to be sure the audience is keeping up.

  • At the end of the presentation, ask for questions.

  • Check the running time of your presentation by selecting "Slide Show" on the main toolbar and clicking "Rehearse Timings." This will show you how long it takes to go through the material on each slide.
