How to Create PDF Documents With an Index

The main benefit of using Portable Document Format (PDF) to distribute material is that users need only a PDF reading program to view it. Access to a specific system or program is unnecessary, and most PDF reading applications are free. Another benefit of the PDF format is the ability to search the document for words or phrases. This process is streamlined if an index is created for the PDF, because the index can be searched faster than the source file. You can create PDF documents with an index, using the right software, by following a few steps.

Download and launch a PDF writing application. Adobe Acrobat Pro, which charges a fee for the download, is used in the following steps. If you choose to use a PDF writing program that is less expensive or free, make certain that it has an indexing feature.

Open the PDF file for which you want to create an index. Click once on the "File" menu and select "Open." Use the "Look in" menu to select the folder in which the PDF was saved. Click once on the file name and once on the "Open" button.

Click once on the "Advanced" menu and select the "Document Processing" option. Select "Manage Embedded Index." This will launch a separate "Manage Embedded Index" dialogue box.

    • 4

Review the information on the "Manage Embedded Index" window. Click once on the "Embed Index" button. This will generate a separate pop-up window advising you that the current PDF will be saved, closed and re-opened. Click once on the "OK" button.

Click once on the "OK" button after the document re-opens. If necessary, you can update the index after the PDF has been changed or delete it altogether. Just repeat step 3 and click once on either "Update Index" or "Remove Index." Don't forget to save the document with the index. Click once on the "Save" option under the "File" menu.
