How to Correct the Minutes for a Meeting

If you are the secretary of a club or organization, you have to take minutes, type them, and distribute them to members before the next meeting. Most of the time you will probably get them right, but when you don't, someone who attended the meeting will call or email you to let you know that you missed something. What to do?       Clarify the error. Find out exactly what the mistake is by listening carefully to whomever points out the error and cross-checking against your notes.

      Write an amended version of the minutes with the corrected material.

      Distribute the amended minutes to the membership in the same fashion as you usually do.

      Correct the minutes at the next meeting, if no one notifies you of the error beforehand. Someone can then make a motion to approve them as corrected, even if they were already accepted before the correction. The motion, in its exact wording, has to be entered into the minutes of that evening's meeting.
