How to Structure a Performance Review
Performance reviews are an important part of business management. They are used to help develop departmental standards and goals and also serve to hold employees responsible for their actions and behaviors. Performance reviews should aim to focus on the development of the individual in relation to the team or department. If you provide accurate and detailed performance reviews, you can increase productivity and morale.

1
List the departmental and individual goals. These should include short- and long-term goals that align with the corporate objectives and values. For ideas, you may want to review a performance review template that you can change to meet your needs. You can find a data sheet, Formal Performance Appraisal Evaluation, on The Ohio State University website.

2
Start the performance review with basic personal information. Include the employee's name and job function as well as the date of the review for record-keeping purposes.

-
3
List any instances of absences and tardiness. This is also a good time to review any statistical data, such as the percentage of absences as they relate to the team, or specific job-related indicators, such as calls per hour or call length.
-
4
Develop a section for the job performance review. This section should focus on questions that deal with efficiency, productivity and dependability as they relate to the employee's job. Provide feedback that includes praise for good performance and suggestions on the areas where improvement is possible.
-
5
Provide feedback on the employee's communication skills. Oral and written communication skills are important in any business and should be evaluated on an ongoing basis. The feedback can include comments on an employee's willingness to help and their ability to function independently on the job.
-
6
Include time for coaching the employee. If you offer solutions, in addition to critiques, you can make a big difference in how the performance review is received. In addition to the added motivation that a regular performance review can provide, reviews should be seen as an educational opportunity and a team-building tool.

Tips & Warnings
Allow employees to provide feedback. Use the review as an opportunity to actively listen to the concerns of your employees.
Don't use general statements, such as "Improve your productivity". Be specific and provide details to support your claims.
