How to Obtain Past W-2 Forms From a Company

A sweaty time begins when you're missing an important W-2 tax form and it's almost February. Although W-2 tax forms are usually sent through mail by the end of January, sometimes businesses wait till the last day to mail them out. It's a minor challenge to obtain a past W-2 form from a company. But even if they've lost your information, the most difficult task you could be facing is having to fill out a W-2 form through the IRS on your own, which involves a little preparation.

      Call the payroll office of your company to talk with the person in charge. Ask if they've mailed out your W-2 form and if they have the correct address. If they say they'll put it in the mail right away, wait for a couple more days before taking other action.

      Stop by the office in person if you still haven't received the W-2 form in the mail. Politely ask for the copy in person. Most times, managers can take out your papers and do this right away, but only if they have the information.

      Take action to begin filling out your own W-2 for the IRS -- if obtaining the form was unsuccessful. Have all of your personal wage and tax information ready. Include your company's address and Employer Identification Number also.

      Wait for the IRS to mail a special form to your company alerting them that they've failed to mail out a W-2 form. You will also will get a copy of this form from the IRS in the mail along with Form 4852, which is the alternative form of the W-2 that you'll have to fill out yourself.

      Print out Form 4852 if you haven't gotten anything in the mail. Visit the IRS Web site and download it off the Web. This will include instructions that will help you fill in each area correctly. Be ready explain how you got your information. Attach this to your tax return, since this replaces your actual W-2 form, and mail it in.
