How to Find Out What Your Employees Are Doing on the Computer
These days even the smallest company needs to have computers in place, but it is important for business owners to keep careful track of what their workers are doing with those computers. Improper computer use obviously has an effect on productivity, but it can be a security risk as well. When employees use email for personal purposes they could inadvertently disclose company secrets, and that could put your business at risk. Going to unauthorized websites could also open up your computer network to viruses and other software attacks.

Determine the scope of your monitoring needs before you get started. If you have a very small office, you may be able to do much of your monitoring the old-fashioned way--by walking around and watching the employees as they work. If you see any inappropriate use of company resources, schedule a one-on-one conference with that employee.

Put your computer use policy in writing so that all of your workers will understand exactly what is and is not appropriate Internet use at the office. Many companies have had success with policies that allow limited personal web surfing during breaks and lunch, while forbidding such access at all other times.

Choose a quality employee monitoring software and install it on every computer in your company's network. There are a number of excellent employee monitoring software packages on the market, including packages that capture screenshots and keystrokes.

Decide how you want to be notified of your workers' computer activities. You can choose to receive a daily email that details all of the websites each employee visited during the day, or you can choose to examine the Internet usage logs only when there is a problem.

Let your employees know that Internet usage and use of computer resources are being monitored. Often simply announcing that monitoring is taking place is enough to curtail those inappropriate activities.
