How to Create an Invoice for Party Rentals

When creating any kind of invoice, you must make sure that the record is detailed and easy to read. However, an invoice for party rentals often includes more information than a regular sales invoice would, such as cost per rental, the agreed upon length of time of the rental, and the condition of the rented pieces at the time of the rental and when returned. You can use either a computer program or write your invoice by hand, but both methods use the same steps and will have the same information.

      At the top left corner of your paper, list the business name, address, and phone number. For ease in recordkeeping, write the date and the number of your invoice in the right top corner. Use the word "Invoice" next to the number so that individuals know what kind of document they are receiving.

      Below the business name and contact information, list the name and contact information of the party who will be receiving the invoice.

      Create a table with one large column and two smaller columns. Title the large column "Item Description," and the first small column "Quantity." The second small column should be titled "Amount." Be sure to provide detailed item descriptions in the first column, i.e. Red 36-inch round tablecloth rather than just round tablecloth, including the condition of the item where appropriate. Be as detailed as possible in the "Amount" column as well, specifying the time whenever possible, i.e. $10/day per piece.

      At the bottom left of the table, create another box just below each of the small columns. Write "Total" in the left box and add the appropriate total cost of the rental in the right box.

      Below the table, provide information to customers regarding when they should pay and how they can pay you, along with a simple message of thanks. For example, "Payment is due within 15 days of invoice date. Please make check or money order payable to XXX, or call 000-0000 to pay by credit or debit card. Thank you for your business!"
