How to Convert Excel to Word Using Headers

Microsoft Excel is spreadsheet software that allows you to manage large amounts of data. While Excel spreadsheets are convenient for classifying and calculating, you may want to output your data to a Word document for insertion into books, training materials or other types of documents. Placing headers on your Excel columns is a necessary prerequisite for many functions in Excel. Using headers when saving as a file that is readable by Word isn't mandatory. However, it will make your data clearer to sort and read once opened in Word.

      Insert column headers into your sheet if they aren't present. Column headers are found in the first cell of each column (for example, A1, B1, and C1) and are usually short phrases like "name," "income" or "item numbers." Excel recognizes headers automatically.

      Click the Office button. Choose "File->Save As->Other Formats."

      Click on the down arrow next to Save as Type. Choose "Formatted Text (Space Delimited) (*.prn)."

      Open the saved document in Word.

Tips & Warnings

  • To save a workbook, you must save the individual sheets as Formatted Text (Space Delimited) documents.

  • For a small amount of data, copy and paste the columns into Word using the Office clipboard.
