How to Update Invitations in Outlook

Microsoft Outlook is one of the more popular choices for email clients in the business world. If you have scheduled a meeting and need to update the information, whether it is to add meeting minutes, reschedule the time, or add attendees, you can do it easily.

      Open the Outlook email client. This is accomplished by double-clicking on the Outlook icon on your desktop or by accessing the Outlook program from your "Programs" menu.

      Click on the "Calendar" menu from the folders. The Outlook folder navigation menu is located on the left hand side of the window. The "Calendar" folder is located under the Inbox options.

      Locate the incorrect meeting. Scan through the meetings that are noted on the calendar and double-click on the one that needs to be updated. This will open the meeting for updates.

      Make necessary changes. Update whatever information needs to be changed, such as time, attendee list, topic or attachments.

      Resend the invitation. In order to communicate the changes to the other attendees, click on the "Send Update" button. The updated request will appear in the inboxes of the attendees, asking them to accept the changed meeting.

Tips & Warnings

  • You can make changes only to a meeting that you organized. If you are an attendee, you can suggest a different time when you accept, but you cannot modify the invitation in any other manner.
