How to Save an Excel File As a Word File

Microsoft Office Suite is a powerful grouping of programs that can help you record and save various information in an easy-to-use interface. The suite comes with a word processing program, Microsoft Word, and a spreadsheet program, Microsoft Excel. Normally the document formats produced by these two programs are not compatible with each other. However, it is possible to work around the file formats and save an Excel spreadsheet as a Word document.

      Open the Excel file you want to convert in Microsoft Excel.

      Click "File" on the menu bar at the top of the page (or click the "Microsoft Office" button if you are using Excel 2007). On the drop-down menu that opens, click "Save as." A dialog box opens that gives you the option of what to name the file and where to save it.

      Underneath the name box, click the field beside "Save as type" to bring up a list of choices for file type.

      Select "Text (MS-DOS)." Name the file. Click "Save" and close Excel.

      Open Microsoft Word. Click "File" on the menu bar at the top of the screen (or click the "Microsoft Office" button if you are using Word 2007). When the drop-down menu appears, click "Open." This opens a dialog box that allows you to search for the file you want to open.

      Browse until you find the folder you saved the text file in. In the dialog box, you should see a drop-down box with the words "Word Documents." Click that drop-down box and select "All Files" so you can see all file types in the folder you browsed to, not just Word documents.

      Select the text file you saved previously and click "Open." The file will open up in Word.

      Once the document is open, bring up the "Save As" window from the File menu (or "Microsoft Office" button menu in Word 2007). Browse to the location you want to save the file, name it and click "Save." Make sure the "Save as type" drop-down box says "Word Document."

Tips & Warnings

  • Before you save the file, make sure all of your columns line up correctly and you have gotten rid of any unneeded space. This will help the text file display correctly in Word.

  • Make sure you save the Excel file as a text file first. Excel has many formats you can save to and not all of them can be read by Word. You may not be able to open the document otherwise.
