How to Print an Outlook Mailing List

Although Microsoft Outlook is used primarily to send and receive emails, it also includes other tools that help you perform tasks more quickly. The contacts folder is one of these. You can add contacts for people you communicate with and use the distribution list to send mass emails to a particular group. When you print an Outlook mailing list, however, some of the words may be chopped off. You can print your Outlook mailing list by using Microsoft Word's mail merge feature instead.

      Create and prepare your mailing list in Outlook. Then go to Microsoft Word and open a blank document.

      Select "Tools," "Letters and Mailings," then "Mail Merge" to prepare your mailing list for merge. The "Mail Merge" task pane will open on the right-hand-side.

      Follow the wizard and select "Directory" under "Select document type." The directory will let you print your Outlook mailing list as a combined list. Then click on "Next: Select recipients" to continue.

      Choose "Select from Outlook contacts" under "Select recipients" and click on the "Choose Contacts Folder" link. You will be directed to Outlook to choose the contact list you created in Step One.

      Click on "Next: Arrange your directory" in the "Mail Merge" task pane. Now, click on "More items..." and select each field individually from the "Insert Merge Field" dialog box. Click on "Insert" after each field to place it in your directory.

      Select the "Close" button once you are finished inserting the fields you want. You will see placeholders representing where each field will be added.

      Reformat your directory by adding a space between the first and last name and pressing the "Enter" key to separate lines. Add an extra space after the last placeholder.

      Return to the "Mail Merge" task pane and click on "Next: Preview your directory."

      Select "Next: Complete the merge" and "To New Document" to finish the merge. Your Outlook mailing list should now appear in Word as one document.

      Save the list ("File," then "Save" or Ctrl+S) and print it ("File," "Print" or Ctrl+P). Your Outlook mailing list is now complete.
