Any individual who must interact with employees of external companies may frequently find themselves in possession of multiple business cards. It may become tedious or even overwhelming to keep these business cards in a manageable format. Fortunately, the use of one common computer peripheral can aid in organizing these business cards and ensuring that valuable contact information is not lost. By using a scanner to capture an image of the business card, an otherwise cumbersome collection of similar looking cards can be digitized and put into a format that takes up less space and is easily sorted.
Things You'll Need
- Business cards
- Scanning software
Turn on the computer and scanner.
Place the business card onto the clear bed of the scanner.
Launch the scanning application.
Configure the destination for the scanned file. This location should be somewhere on your computer that you can access easily, such as a "My Documents" folder.
Name the scanned file. The file name should include the name of the individual, as well as their company, in order to allow for faster searching.
Customize the file type to ensure maximum compatibility. The resolution should be high enough so that all of the information is visible. Save the file as a .jpg to ensure that colleagues can easily view the file if you send it to them. This will also produce a small file size, which will help to minimize the amount of disk space that each file will consume.
Start the scan. Some scanning software will allow you to preview and crop the scanned image before it is finalized and written to your hard drive. If your software offers this option, crop the image to only include the business card. This will minimize the file size.
Tips & Warnings
- Keep your file naming system consistent. If you name one file "company-first name-last name," you should name all files in this manner.
