How to Use the Excel Drop-Down Box to Format Cells

Microsoft Excel is a convenient software to use for data analysis. Various tools and features are available to create customized reports and data models. Formatting various cells is fairly simple. You can use the toolbar at the top, or you can simply highlight a cell and right-click. Upon right-clicking, a menu of options is presented. Excel's drop-down box is the more useful option in that it presents the most commonly used formatting options in one place, rather than requiring you to navigate through the toolbar. Learn how to use Excel's drop-down box to format cells by following the simple steps below.

  • Microsoft Excel 2007
  1. Step 1

    Right-click with your mouse on the cell you would like to format. A list of options will be displayed.

  2. Step 2

    Select "Format Cells" to bring up the "Format Cells" window. The window consists of the following six tabs: Number, Alignment, Font, Border, Fill and Protection.

  3. Step 3

    Go to the Number tab to select the type of data of which the cell consists, such as scientific, or number. Each category has various options available. For example, you can choose how you want a date to appear, e.g., "MM/DD/YYYY" or "DD-MM-YY," in the Date category.

  4. Step 4

    Go to the Alignment tab to wrap text, merge two cells, or rotate text within the cell. Choose a font color, type and size in the Font tab. You can also underline, bold or italicize the contents in the cell. Effects such as strikethrough, superscript and subscript for footnotes can also be selected here.

  5. Step 5

    Select the type and color of the cell border you would like in the Border tab. You can choose to have a border on one side only by clicking in the appropriate position in the Border box. For example, if you need to format a cell to show a total sum, you can choose a double-line border and click on the bottom side of the box. Choose a background color if you would like to highlight the cell in a particular color. You can also choose a pattern for the fill, such as stripes.

  6. Step 6

    Lock or hide a cell by clicking the appropriate check box in the Protection tab. Locking a cell prevents changes from taking effect.

Tips & Warnings
  • Locking or hiding formulas from the Protection tab will not have any effect until the worksheet is set to "Protected." Go to the Review tab and click on the "Protect Worksheet" button in the "Changes" group.
