Step 1
LETTER CAMPAIGN.
Make sure the letters that you write speak to the non-profit you are supporting. Inform the donors why their donation is needed, what it will be used for, and how their donation will positively impact the community. -
Step 2
LAYOUT.
Your letter should include an easy-to-read letter that should be direct and not too lengthy. Make it easy for donors to respond with a donation. Include a pre-paid envelope and a tear off response card. The response card can include electronic payment options that you will follow-up on. Making it as easy as possible for people to donate is key to your mail success. -
Step 3
FOLLOW-UP.
It is important to follow-up with donors. Thank donors that have donated with a thank you letter. Ask them to renew a year after you receive their initial contribution. Consider additional donation letters a few months later for less money. -
Step 4
TRY AGAIN.
If you know that the individual has interest or has given before, send another letter a month later with a different message or asking them to contribute in a different way. You can always call them to follow-up and treat them special.
