Send a Fax Without a Fax Machine in Windows XP

Windows XP has a program called Windows Fax Services that you can use to send faxes without a fax machine. These services use your modem to send faxes rather than a fax machine. You will need a scanner to digitize the documents you'd like to send by fax, but you won't need a fax machine to send faxes with Windows Fax Services. Since you can also receive faxes using Windows Fax Services, you can get rid of that fax machine altogether.

Difficulty: Moderately Easy
Instructions
  1. Step 1

Click "Start," "Control Panel" and "Add or Remove Programs." Click "Add/Remove Windows Components." Click "Fax Services," then click "Next." The Windows Component Wizard will set up the fax services for you.

  2. Step 2

Click "Start," "All Programs," "Accessories," "Communications," "Fax" and then "Fax Console." Select "Tools" and "Configure Fax." Click "Next." On the "Sender Information" screen, enter your name or business name and fax number in the fields provided. In the "Select Device for Sending or Receiving Faxes" screen, select the modem you'd like to use to send your faxes from the drop-down menu. Check "Enable Send." Check "Enable Receive" if you would like to receive faxes in Windows. Check either "Manual answer" or "Automatically answer after" and set the number of rings. Click "Next."

  3. Step 3

Enter your name and fax number in the "Transmitting Subscriber Identification" screen. If both your name and number won't fit in the field, then you can choose to enter either your name or fax number. Click "Next" and finish the Fax Configuration Wizard.

  4. Step 4

Select "Fax Printer Configuration" from the "Tools" menu. Give the fax printer a simple name such as "Fax." Select the "Devices" tab. Ensure that your modem is listed under "Device name." Click "OK."

  5. Step 5

Scan the document that you would like to fax. Open the image in any program that can print images. Select "Print," then select the printer options. Select "Fax" from the list of printers. Click "Print." This will automatically open the Send Fax Wizard. Click "Next."

  6. Step 6

Enter the name of the recipient and the recipient's fax number in the next screen. Click "Next." Set up a cover page, if you like. Click "Next." Select when you want to send the fax, and select the fax priority. Click "Next." Select "Finish."
