How to Transfer a Phone Call

One of the most important duties of a receptionist or call center operator is knowing how to transfer someone to another person within the company. As there are many different people calling one location at once, you'll need to know how to transfer a call quickly. For most typical phone lines and phones, this is the method you'll use to properly transfer someone to the person they need to speak to.

      When a call comes into the phone line, answer it normally.

      When the person asks to be transferred to a particular individual, tell them to wait just one moment.

      Press the transfer button on your phone. As this automatically places the caller on hold, there is no need to press the hold button.

      Dial the extension of the person requested. If the person wants an outside number, you may need to dial a number such as "9" before the phone number.

      When the person on the other ends picks up, announce the call to them and hang up. The caller should then automatically be connected to the person.

Tips & Warnings

  • Sometimes there isn't a button labeled transfer on the fold. In this case, the flash or hold button may serve the same purpose.

  • Do not accidentally disconnect the caller! Doing so may make the caller quite irritated, or worse, might harm the relationship between callers. You don't want to lose your job.
