1
Decide if you would prefer to travel with an arranged tour or by make arrangements on your own. Working with touring companies such as Perillo Tours has many advantages. An organized tour group can provide interpreters if you don't speak Italian. Tour groups can arrange special tours of specific events such as an audience with the Pope that might be otherwise unavailable to ordinary members of the public. Tour groups can also help you make transportation arrangements such as hiring buses that might otherwise be difficult to accomplish with large groups. Tour groups can be expensive so factor that into your decision.

2
Make airline arrangements. Italy is roughly between 8 and 10 hours of flight time from the continental United States. Many major airports have flights that fly directly into Rome without transfers. Consult with the members of your group. A direct non-stop flight can cost more. Find out if they prefer a connecting flight from nearby city such as Amsterdam.

3
Decide on an itinerary. Italy is shaped like a boot. At the top of the boot you will find Milan and the Italian Alps as well as the lake region. To the right of the boot you can find Venice and Verona. In the center of Italy lies Florence and Rome. To the south lies the Amalfi coast. Each region has much to offer visitors. Ask fellow members of your organization what they would prefer to see. A tour emphasizing religion may focus on cathedrals and sites of religious interest as well as a tour of Vatican City. Tours that focus on art should emphasize visits to many Italian museums such as the Ufffizi in Florence. If fellow members have a deep interest in Roman and Greek history include the Forum of Rome and a visit to the unearthed city ruins of Pompeii.

4
Make hotel reservations. Booking for a large group can work to your advantage. Ask for a deep discount if you are booking many rooms. Book well in advance. Allow at least three to six months if possible. Make sure you know the location of the hotel and have the correct address. Give each person in your group a copy of each hotel address as well as map of nearby sights in case they get lost.

5
Set up transportation arrangements. Italy has an extensive network of trains and buses. Private cars can be expensive and roadways confusing. Give careful consideration to travel by public transportation. Tickets can be purchased at the train station on the day of your scheduled trip or even a day or two in advance.
