How to Format Publisher 2003 to Create a Booklet Newsletter

Booklet newsletters can be used in a variety of different situations, from religious services to school plays and concerts. Booklet newsletters can be a four-page newsletter style, which consists of one sheet of paper folded into a booklet with printing on both the front and the back, or they can consist of more than one sheet of paper and have multiple pages. If you need to make a multipage booklet-style newsletter for an event, you can do so using Microsoft 2003's Publisher software.

      Open the Publisher software and select the "Blank Print Publication" option. This will allow you to design your booklet newsletter completely from scratch.

      Indicate "Booklet" as the publication type you are creating. To do so, go to the "File" menu and select "Page Setup." In the "Publication Type" section, select "Booklet." Set "Landscape" as your page layout and click "OK." Publisher will automatically set up a 4-page folding booklet using standard 8 1/2-by-11 inch paper. If you will be using a different paper size, such as 11-by-14, you can change the paper size under the "Printer and Paper" tab. The pages will be numbered, so you will not have to worry about how the booklet will print.

      Create a cover page for your booklet. You can use a template or design your page on your own. To use a Publisher template for your cover page, go to the "View" menu, hover over "Toolbars" and choose "Task Pane." There will be a variety of templates you can choose from with different layouts of text and graphics. Select the template of your choice. The templates in Publisher can be used only on the cover page of a booklet. The rest of the booklet must be designed by hand.

      Insert text using text boxes. To add a text box to your booklet, go to the "Insert" menu and select "Text Box." When the box comes up, you can resize the box any size that you want by using the "handle" at the corners and sides. You can also move text boxes by clicking on them and dragging them to another location on your booklet.

      Add graphics to your booklet. To add pictures or clip art, click on the "Insert" menu and select "Picture" from the list of options. You will be able to select either "Clip Art" or "From File." Choosing "Clip Art" will take you into Publisher's clip art library and "From File" will allow you to browse your computer for any image file that you have saved. Graphics can be resized and moved in the same way that text boxes can be moved.

      Include a calendar. If it would be beneficial to include a calendar of events in your newsletter, you can do so easily in Publisher. Go to "Design Gallery Object" under the "Insert" menu and select the "Calendars" option under "Categories." There are several types of calendar from which to choose. Click on the calendar of your choice and click "Insert Object." You can resize the calendar to fit properly in your booklet.

      Insert additional pages. To add a new page, go to the "Insert" menu and select page. Since booklets must print out in sets of four for proper folding, when you insert a page, four pages will actually be added to the booklet. You may need to do some rearranging leave the same number of blank pages at the beginning and the end of the booklet, or you can leave all of the blank pages at the end if you prefer.

      Print the booklet. Once the booklet is completed, it can be printed in one of two ways. If you have a standard printer that prints to only one side of the paper, you will need to print the pages separately and bind them in whatever manner you see fit. To print, go to the "File" menu and select "Print." If your printer has the two-sided printing capabilities, click on the "Properties" button and select the "Print on Both Sides" option. The booklet will print out exactly as it is designed and be ready for folding.
