How to Bill for Adult Day Care Services
An adult day care is a facility in which adults who are frail, disabled or developmentally challenged can be taken care of while their regular caregivers are unable to care for them. If you run an adult day care, you may be confused about how to structure the billing for such a unique service. Make sure to document all you do, and bill the responsible parties promptly and professionally.

Brainstorm all of the services you offer with your adult day care. Think about things like meals, outdoors activities, crafting and health-related services. Remember to add any specialty services you offer throughout the day.

Assign a daily dollar amount to each service you offer. For instance, a hot lunch may cost $5 per day. Take into account your own expenditures as well as your time to prepare. Do the same for each service. Some may be complimentary services, but still make sure those services are recognized as nonchargeable.

Give an hourly amount for the watching of the adult at the facility alone, without any added services, such as $7 per hour.

Add together the hours an individual is in your care and then look at the services that she enjoyed at your facility. Tally the daily amount for care and add the amounts for the other services to come up with a daily total.

Decide whether to bill daily, weekly or monthly. It may be different for each person in your care, whether he or she is a regular at the day care, or whether it is a day here and there.

Use an accounting software (see Resources section) to print out a bill for the adult's regular caregiver. It should explain all of your reasoning, and clearly show which services the individual enjoyed under your care.

Explain the billing process to the adult's regular caregiver. She should understand the "menu" of services, and may want to try different services in the future, or pick and choose for a more customized approach to care and billing.
