How to Zip a Document or File

Many people zip their computer documents and files, which creates compressed versions of the files to save storage space on their hard drives. There are many benefits to zipping documents, including encrypting and protecting email data, and sending emails more quickly. You can zip documents on both PC and Mac computers.

Instructions

  1. PC

      Place your cursor over the document or file that you want to save as a ZIP file.

      Right-click on the chosen file. If you want to zip more than one document, first hold down the "CTRL" key and click on the desired files.

      Choose "Add to Archive" or "Add to Zip" from the shortcut menu that pops up on your screen. The file will then be saved with a .zip extension.

      Make any desired settings changes to the document by choosing "Options" or "Configure" from your shortcut menu.

    PC with Windows XP

      Place your cursor over the document or file you want to save as a ZIP file.

      Right-click the chosen file, click on "Send To," and then click on "Compressed (Zipped) File." The file will then be saved with a .zip extension.

Tips & Warnings

  • When you want to zip many documents at once, you can save time by simply creating a folder on your desktop and then moving all the documents into it. You can then simply right-click the folder and follow the instructions to create one ZIP file.
