A transmittal letter is a letter that is sent with an enclosure, such as another document or item, that is being transferred or being submitted for approval. There are times in your business and personal life in which you will need to write or draft a transmittal letter. Follow the steps below to write or draft a transmittal letter.

  1. Step 1

    Your letter should be simple and brief and most likely no longer than a page.

  2. Step 2

    Describe the object, document or item you are enclosing. For example, you may want to write, "Please find the enclosed contract for your review and approval."

  3. Step 3

    You should refer to the document or item by title if it has one, and then explain what you would like the other party to do with the document or for you.

  4. Step 4

    If the document or item is not self-explanatory, or the other side is not expecting this communication, be sure to explain in detail the purpose for sending the item.

  5. Step 5

    At the end of your letter, thank the recipient for his or her time and assistance. You can also invite the recipient to contact you if he or she has any questions or needs further instructions.
