      The Mailings Tab

      Click on the "Mailings" tab on the Microsoft Word Ribbon.

      The "Start Mail Merge" Drop Down Menu

      Click on the "Start Mail Merge" drop-down menu. Here you will find choices you can select from to create the kind of document you want. For this example, we will choose letters.

      Next click on the "Select Mail Recipients" drop down menu. You have three choices:
      - "Type a New List," which will create a table in Word you can use for this and future mail merges.
      - "Use an Existing List"
      - "Select Contacts from Outlook"

      For this example, we will choose the second option because our list is in a Microsoft Excel file.

      Select the file containing your mailing list

      In the dialog box that appears, select the file that contains your mailing list. If you are using an Excel file, a second dialog box will appear asking you to select the correct sheet in the Excel workbook.

      To add the merge fields into your Word document, make sure your cursor is in the correct location and click on the "Insert Merge Field." Then select the appropriate field for that location.

      When placing your merge fields, be sure to add the appropriate spaces and punctuation. For example, if you do not manually add a space between "First Name" and "Last Name" the two fields will run together. You will get TomJones, rather than Tom Jones.

  • When you complete these steps, you are ready to select "Finish and Merge" and the process is done.
