How to Clean an Email List

Cleaning your email list helps you track your contacts better and reduce undelivered emails. If you've tried doing a large mailing to an email list, you know some addresses will bounce back. Just as soon as you've made one change, there's another. Here are some steps to help you get closer to your goal.

  1. Cleaning an Email List in Yahoo!

      Go to https://mail.yahoo.com and log on to your Yahoo! mail account.

      Click on the "Contacts" tab. If your contacts are divided in groups/categories, select the email group you want to clean (example: friends) under the Categories section on the left side of your page.

      Check that email addresses are correct. If you're unsure that an email address is valid, send out a test email. Make a note of undeliverable emails.

      Update or delete any incorrect email addresses you have on file. To update an email address, select it and click the "Edit" link. To delete several email addresses, select the ones you want to remove and hit "Delete." To delete all the email addresses in a group, select on the group, click the "Clear All" link and hit "Delete."

      Check each group or contact until all the email addresses on your list have been cleaned.

      Open Outlook Express.

      Click on the "Addresses" button. The "Address Book" dialog box will open with the email addresses you have in your contacts.

      Scroll through the email addresses to double-check that the email address for each contact is correct. If you're unsure that an email address is valid, send out a test email. Make a note of undeliverable emails.

      Update an email address by double-clicking it and selecting the "Name" tab. Click the "Edit" button and type in the update.

      Delete the entire contact information (including the person's address, phone and email address), by selecting their name in the "Address Book" dialog box and hitting "Delete." To delete only the email address, double-click the person's name and select the "Name" tab. Then choose "Remove."

      Repeat steps 4 and 5 until all the emails on your list have been cleaned.

      Go to http://mail.google.com/mail and log on to your Gmail account.

      Select the "Contacts" link to view the email addresses you've saved.

      Double-check the email addresses of your contacts. If you're unsure that an email address is valid, send out a test email. Make a note of undeliverable email addresses.

      Select the group name under "My Contacts" to double-check email addresses in your groups. To update an email address for one of your contacts, place a checkmark by their name and click the "Edit" button. Make the update and then hit "Save." To delete one or all of your contacts, click the "All" link beside "Select" and choose the "Delete Contact" button.

  • To save time, clean your email list when you know of a change. This will keep your list up-to-date and reduce frustration.
