How to Write a Chairperson's Report for an Organization

As the chairperson for an organization, it is up to you to ensure that all members are on the same page and that the organization is fulfilling its intended purpose. A great way to do this is to write a report on the organization's status. This report can coincide with annual fiscal reports or even be monthly, if desired. It could even be written only when a significant change has occurred within the group. Simply write a one to five page report on the organization's standing as often as you feel necessary.

Instructions

  1. Writing your Report

    • 1

Summarize the organization's performance from the previous year. Explain the achievements of the organization, as well as problems it has faced. Offer solutions to these problems to show that they are workable and repairable.

    • 2

Describe some of the organization's wishes, plans and expectations for the upcoming year. Be detailed with your expectations. If at all possible, emphasize your post as chairperson and what you intend to do to ensure the needs of the organization are met.

    • 3

Describe briefly what the organization needs to continue its work. If you will need more funding or support from the community, address this here. Also explain how you plan to go about receiving this added assistance from groups and individuals.

    • 4

Explain your current status with the organization. Briefly outline your history with the organization and what your future plans as chairperson are.

    • 5

Include any members of the organization, donors or volunteers who deserve special recognition from the organization. Many people go into making an organization successful, so if possible call out those who have been particularly helpful.

    • 6

Emphasize again the organization's mission and purpose. Recap how you expect this mission to be fulfilled and ways that it has been fulfilled in the past.

Tips & Warnings

  • Write in a conversational manner to engage your audience.

  • Do not neglect to identify organizational weaknesses--solutions can only be met when a problem is addressed.
