How to Write Emails in HTML

HTML emails offer much better looking content than plain text. Using HTML allows you to include graphics, different fonts, icons, Hyperlinks, interactive forms and many different types of visual media formats. With plain text emails, you can only write from top to bottom. With HTML emails you can format and break up your content so that the message can be read easier.

  • Email
  • HTML Email Editor (Optional)
  1. Step 1

    In some ways, coding HTML email has become a lot easier over the years. Most email software providers, such as Gmail, Hotmail, Outlook and similar services offer HTML and CSS support. If your email provider doesn't offer HTML support and you do not know how to write HTML code then the first step is to write your content in a word document.

  2. Step 2

    Once you have finished writing your email message, if you are using Microsoft Word, you can format your message to look however you want it to look. Name and save the page you have created as a .htm file (ie html-email.htm).

  3. Step 3

    Make sure that the HTML option is turned on in your email client. Every client is different but here are how you should do it on some of the popular email clients.


    Outlook Express:
    1. Click on "Tools" and choose "Options"
    2. Switch to the "Send" tab
    3. Make sure that the Mail sending format is "HTML"
    4. Click "OK"

    Thunderbird
    1. Choose Message > New Message or Ctrl-M
    2. Use the Thunderbird editor to add your HTML into your message directly

  4. Step 4

    Open your email client and go to create or compose a new email. Now most programs like Outlook there is an option called insert text from a file. If your program does have that you will need to find your saved message from Step 2 and select it and you should be ready to send your email. If your program does not have this option please continue to Step 5.

  5. Step 5

    Because you cannot import your message you will have to edit copy it into your email. The way you have formatted your message should carry over to the email client because you have turned on the HTML support. Highlight your text and edit copy your text into your email message.

Tips & Warnings
  • Always use absolute URLS for your graphics
  • Cutting and pasting from Microsoft Word, can cause some format to not carry over into HTML very well.
