How to Print Address Books

Technology is incredibly helpful in our daily lives, but it is not always reliable. It's always a good idea to keep a backup of your information whenever possible. Where would you be if you couldn't access your business and personal contacts (including names, addresses, phone numbers and emails) on your computer, even temporarily? You can avoid this inconvenience by printing a copy of your address book to file in your desk or pin to a bulletin board for easy reference.

Instructions

  1. Online Address Book

      Open your online address book account. Popular online address books include the ones offered by Yahoo!, Gmail, and Hotmail (Microsoft Live). These address books are integrated with email.

      Display your contacts on your screen by selecting "Contacts" or "Addresses." Click "Printable Address Book," "Print Friendly View" or similar option.

      Choose the layout options for your printed address book. You can either print all of the available fields, or an abbreviated version with just the most important details. Decide if you only want to print your business contacts, your personal contacts or all.

      Click "Display for Printing," "Print Options" or the similar option that is offered by your online address book service.

      Go to "File" then "Print" on your browser menu. Choose your printer from the drop-down box and change the printing preferences as needed (for example, double sided printing, color versus black and white or landscape versus portrait). Press "Okay" then "Print."

    Using Contact Management Software

      Open your contact management software program. This could be Outlook Express, ACT! or another brand.

      Click "Tools," "Preferences" or similar option on your program menu, then click "Address Book" or "Contacts" to display your contacts on screen.

      Sort your addresses according to your preferences ("View" then "Sort" or the similar option in your program). For instance, you can sort by last name or business name.

      Select "File" then "Print" on your program menu. Choose the printer that you want to use from the drop-down box. Click "Preferences" to change the orientation if necessary---depending on how many columns there are in your address book you may have to print the list in landscape view to fit them all.

      Click "Print" when you are finished setting options.

Tips & Warnings

  • Select "Print Preview" if you have that option in your program to see how the addresses will look when printed. In Outlook Express, you can decide on a specific print style for your address book. Choose between notecard style or booklet style.
