How to Customize Mailing Labels

Specialty printer paper and labels provide a convenient way to address holiday cards and party invitations. Microsoft Outlook has a Label function that has settings for commercially available inkjet and laser printer labels. Mailing labels can be customized to include a unique graphic, special text, fonts and type treatment and color. Your mailing list can be automatically merged into the label template. Customized return address labels also can be generated using the Label tool.

      Launch MS Word and open a new or blank document by selecting "New" under "File" in the top menu bar. Select "Labels" under "Tools" in the top menu bar. Click the "Options" button to select your label from the list of brands and product numbers. For example, Avery standard 5260.

      Type a message that will be included on each label, such as "Special shipment for" or "Holiday Greetings." Highlight the text in the sample window and click the "Font" button. Select your font, size, style, font color and effects in the font dialog box. Click the "OK" button to save the settings and close the font dialog box.

      Click the button next to "single label" or to create a sheet of return address labels, click the button next to the option "use my address" and the button next to "full page of the same label." Click the "OK" button to see a sample label layout with one label containing your return address (or a full page of return address labels). Insert a small picture or graphic, as desired. Click the picture to select.

      Select "Labels" under "Tools" in the top menu bar to open the Labels dialog box showing your picture and customized text in the sample window. Click the "Data Merge" button to select your mailing list (Excel spreadsheet). Click the "OK" button to generate a new document of formatted mailing labels, ready for printing.
