A class list can be an invaluable tool to any teacher. It may be used to keep track of students by subject or period. Class lists may also include various details such as first and last names, grades, classroom seating and more. A class list can be especially advantageous to substitute or student teachers who are not familiar with the students they are teaching. Making a class list using a spreadsheet program simplifies the process and allows a teacher to benefit from the program's many features.

      Open a new, blank spreadsheet. Click inside the first cell at the top left of the spreadsheet to place the cursor in it. Type in "Last Name."

      Press "Tab" to move to the next cell to the right in the spreadsheet. Type in "First Name."

      Press "Tab" and enter the next desired heading. Continue entering all the required headings, such as "Seat," "Qtr. 1 Grade," "Qtr. 2 Grade" and so on. Each heading should go into a separate cell in the 1st row of the spreadsheet.

      Select the entire row. Use the spreadsheet's "Formatting" menu to make the font bold or larger, if desired. This will help the headings to stand out from the student data in the list.

      Click inside the 1st cell in the 2nd row and enter the last name of the 1st student. Use the mouse or the tab key to move to different cells in the class list and fill in student information. When the list is finished, save it the file in a secure place on the computer or server.

Tips & Warnings

  • Most spreadsheet programs have a "Sort" feature (typically in the "Data" menu). This allows you to sort the class list easily by student name, seat number or any other heading.
