Giving thanks when it's due is an important part of life both personally and professionally. Whether you just interviewed for a job, acquired a new client, received a wedding present or accepted a donation, formally thanking people who have provided you with an opportunity or gift is a good idea. It is best to write the thank-you note right away so that it's timely and it will be easier to write if the gift or act of generosity is fresh in your mind. It does not need to be long and there are only a handful of elements you need to include to make it meaningful.

      Think about the gift or experience for which you are thankful and the person it came from. Reflect on what you appreciate most about it; this will guide you in writing your thank-you note.

      Acknowledge the person you are thanking. Most letters open with the word "Dear," and the person's name. How you use the name depends on your relationship. If you are thanking someone you know on a personal level like a family member or friend, use the first name only. Otherwise, use the person's full name or last name.

      Thank the person and mention the gift or act, being very specific. For example, if your mother-in-law gave you some clothes for your birthday, don't just write, "Thanks for the clothes." Unless she bought you a new wardrobe, recognize each specific piece of clothing (i.e. the scarf, sweater and shirt).

      Explain your appreciation. For example, mention that you love how soft the sweater is your mother-in-law gave you and how the color really complements your skin tone. Or, tell the interviewer you felt fortunate to have had the opportunity to not only discuss your experience but to also learn more about XYZ Company.

      End the thank-you note appropriately using salutations such as love, best regards, sincerely or kind regards and sign your name.

      Mail the letter as quickly as possible.

Tips & Warnings

  • Even if you didn't like the gift, thank the giver anyway because all gifts deserve acknowledgement. There's no need to lie; simply thank the person in general. If you received a book that you've already read or don't like, just tell the giver how much you enjoy reading and how you appreciate his or her thoughtfulness.

  • Although much of today's communication is done via e-mail, handwritten thank-you notes are preferable and may come across more warmly.
