A press release is distributed to a variety of media outlets to announce events, news and information. Also referred to as a news release, the one page summary should follow a certain format and writing style. Proper grammar and spelling is critical.

      Start with adding contact information. The above left corner of a press release should contain the relevant contact information. Include a contacts name, address and phone numbers. Both a day and evening phone number should be included. A website address is beneficial so a reporter can seek additional information.

      Written in all capital letters the headline or title of a press release is always underlined. The headline should instantly grab a reader's attention and summarize what the release is about. Options can include writing the headline in bold, as well as underlining it.

      Add the body of the press release. Make sure to follow an objective news style when writing. AP style is the preferred style to follow. Begin with the date as well as city. Similar to the headline, the first sentence must quickly grab a reader's interest. The remainder of the body should include relevant information in order of most important to least. Answer the 5 Ws and H: Who, What, Where, When, Why and How.

      Ending the press release. Journalism guidelines, and industry standard is to end the press release with ###. A reporter reading the release will understand this is the end of the press release. Most press releases are one page in length.
