Step 1
Travelers. Find out what you can about the travelers. You will most likely need full names to match their i.d., date of birth, room preference, and reward program information. Find out if all of the travelers what their flight to arrive at about the same time and if they all want to stay at the same hotel.

Step 2
Flight and airlines. Make sure you have an accurate count on the number of travelers. When shopping for flights use the seating chart to check the number of seats and see if there is adequate room. If not look for a similar flight on another airline so that your travelers arrrive around the same time.
If the flight does have room, contact the airline and see if they offer any discounts on large groups to save some extra money. -
Step 3
Hotel. If the travelers are all staying at the same hotel, call the hotel directly and negotiate a rate and amentities. Many hotels will offer free internet or free breakfast to large groups.

Step 4
Transportation. Depending on your group size it may be more economical to rent a mini coach or limosine instead of a car or regular airport shuttle, and it will also be more comfortable for your travelers.

on 5/28/2009 there is a site called HotelPlanner.com where hotels bid on your group. You can get really low rates. I use them for my wedding and proabbly saved about $20 per room.
