How to Convert FileMaker Pro to Excel

FileMaker Pro is a database program that is used to manage collections of data. The data is organized into fields that can be exported into file formats other programs can read. Microsoft Excel is a spreadsheet program with some database capabilities. It organizes data by fields in rows and columns. Converting data from a FileMaker Pro file into Excel is done through exporting the database in the FileMaker Pro application.

Things You'll Need:

  1. Step 1

    Open the FileMaker Pro application and open the database file you wish to convert to Excel.

  2. Step 2

    Click the "Show All" button at the top of the FileMaker Pro screen to make sure you are viewing all your database records. Then click the "File" menu and select "Export."

    Choose an export format from the drop-down menu at the bottom of the Export dialog box. FileMaker Pro comes with two options for a direct-to-Excel conversion. XLS will work for all versions of Excel. XLSX should only be used if you will be bringing the data into Excel 2007 (Windows) or Excel 2008 (Macintosh).

  4. Step 4

    Type in a name for the exported data file and click the "Save" button. This will bring up the next dialog box in the export process.

  5. Step 5

    If you want the first row of your Excel spreadsheet to include the field names of your data, check off the box next to "Use Field Names as Column Names in First Row" in the next dialog box.

    Click the "Continue" button and select the fields in your FileMaker Pro database you want to convert to Excel. Click "Move All" if you want all the fields to go into the export file. Otherwise, click the individual field names and click the "Move" button for each one.

  7. Step 7

    Click "Export," and FileMaker Pro will create the export file.

  8. Step 8

    Quit FileMaker Pro and double-click the exported Excel file to open it. Your converted file will open as a spreadsheet file in Excel.
