How to Make a Flowchart of Payroll Slips

In spite of how eager most employees are to get paid, some of them seem to have trouble turning in time sheets in a timely fashion. Other employees may constantly ask why it takes so long for them to get paid. A good way to deal with both of these issues is to create a concise flowchart that explains the payroll process.

      Make a list of all the people involved in paying an employee, from the moment the employee fills out the timesheet, to the moment the payroll slip ends up in the employee's hand. Your list will generally include most of the following: Employee, manager, company accountant, payroll company, office manager.

      Set up a simple flowchart structure, involving boxes connected by lines. This is doable by hand, but is much easier with computer software. If you do not have a program that makes flowcharts, you can download one at the link below.

      Fill in the flowchart boxes with the names/positions of the people in the order that they deal with the payroll process. For example, the first box should be an employee turning in a timesheet, the second box might be a manager collecting/reviewing the timesheet, the third box might be a company accountant adding up the pay scale, the fourth box might be a payroll company processing the payroll, etc.

      Place diamonds at any point where the flow might be disrupted. For example, between the manager and accountant box, place a diamond that says "Is timesheet correct?" Then draw two lines coming from that diamond. The one labeled "Yes" will continue to the accountant, while the one labeled "No" will likely point back to the employee.

      Show your employees the completed flowchart, which will showcase all the people necessary to get payroll slips distributed in a timely fashion, and explain why delays might occur.

Tips & Warnings

  • Don't forget to include the person in your office who hands out payroll slips---if that person is out sick, payroll slips can sometimes be delayed if nobody else steps up.
