How to Write a Letter to Cancel a Contract With a Rental Agent

People who want to rent their home or apartment will sometimes use a rental agent to assist them in finding suitable renters. Rental agents generally receive a percentage or finder's fee as payment. To ensure legal stability, a contract should be signed between the landlord and rental agent illuminating the expectations and responsibilities each has of and to the other. For example, for a fee from the landlord, the rental agent agrees to show the property to potential renters for a period of one year. Occasionally these agreements must be broken. Writing a letter is one way to go about this.

      Date the letter and begin with a nice salutation. As in, "Dear Glen, I hope things are going well for you. I wanted to talk with you about the contract we signed making you my rental agent."

      Summarize the facts. Note when you entered into the agreement (by date if possible) and state what the exact agreement was. Maybe the rental agent has agreed to have the property rented within 90 days. Or perhaps the agent has pledged to deal with all parties honestly. For example, "Note that we agreed you would have the property rented within 90 days." Or, "Recall how you promised to deal honestly with all parties."

      Explain politely why you wish to terminate the agreement. Select a time frame for the agreement to end; within a few days or immediately. Maybe it has been 75 days and the rental agent hasn't shown the property at all and you no longer find this visible. Or it could be the agent lied to you and you no longer wish to continue the relationship. Like this, "It has been 75 days and you have not shown the property to anyone and thus I believe you have acted in bad faith. I am canceling our agreement." If the agent lied to you, say, "You've lied to me and in so doing broke our agreement. I am canceling it now."

  • When canceling a contract it is often easier to wait until the term of the contract expires. You may need to simply inform the agent of this in writing. State that you do not wish to renew the contract upon expiration.
