How to E-file Form 941
If you have a business with employees and are required to file Form 941 with the Internal Revenue Service for your business's quarterly federal tax return, you may be happy to know that you can e-file it instead of mailing it. The IRS offers a few different ways for employers to send in Form 941 using the e-file method just like it does with other tax forms.

Decide how to submit Form 941 to the IRS. You are not allowed to electronically transmit Form 941 to the IRS yourself. Instead, you need to seek out the services of a reporting agent, an Electronic Return Originator (ERO) or a third-party transmitter that performs IRS e-filings. A reporting agent could be an accounting service. An ERO is a company that passes IRS compliance testing. And a third-party transmitter is an organization that works with EROs and reporting agents to transmit data to the IRS.

Decide how the form will be populated. If you want to submit the data to a company and have it fill out and transmit the form, then find a company that has a brick-and-mortar location for you to visit, like a reporting agent or a third-party transmitter. If you prefer to fill out the form yourself and hand it over for a company to e-file for you, then you will need to look for an ERO that can do that.

Select an ERO. If you choose to use an ERO, you will need to find one that has IRS approval. To locate an acceptable organization you will need to select one from the e-file Business Provider's page on the IRS website (see Resources). You can select any of the ERO providers from the list.

Select a local e-file company. If you prefer to visit a brick-and-mortar location, you will need to select a local e-file provider in your area. You can do this using the e-file resources page on the IRS website (see Resources below on this page). Enter your ZIP code to be given a list of local-area companies approved by the IRS.

Confirm your ability to e-file 941s. Not all of the local area e-file providers are able to e-file Form 941. Once you find a provider in your area, phone it to inquire if it has the ability to e-file Form 941 for you. If not, you will need to select another provider.

Provide the e-file company with the appropriate data. If you are not sure what data it will need, look at the instructions for Form 941 on the IRS website.
