How to Scan & Email a Document Using an HP Scan Jet 5470C

The HP Scan Jet 5470C is a flatbed scanner compatible with both Mac and PC computers and intended for use in a small-business or corporate environment. One of the HP Scan Jet 5470C's more noteworthy features is a special email button. Once properly configured, you can use this button to scan a document and attach the image to a new email message.

      Turn on both your computer and scanner. Locate and open the "HP Scanjet Utilities" application.

      Click on the tab labeled "E-mail." Select your email application from among the options listed under "Destination." Configure the quality, size and other settings as desired. Save your changes and exit the "HP Scanjet Utilities" application.

      Lift the scanner cover and place your document face-down on the glass. Lower the scanner cover.

      Press the email button on your scanner (it is labeled with a picture of a flying envelope). The scanner will scan your document, open your email application, open a new message and attach your scanned image to it.

      Review the email window on your computer. Enter your recipient's email address, an email title and any desired message text in the appropriate fields. You may now email your scanned document.

Tips & Warnings

  • When using the email button, the scanned file will be generated in a .pdf format. If you wish to use a different format, you will need to save the scanned file to your computer and manually attach it to your email message. Higher quality scans will result in larger file sizes; this, in turn, will increase the size of your email message. If possible, use a lower quality scan to lessen your upload times and minimize the risk of filling your recipient's inbox to capacity. The email button on your scanner will not work if you use a web-based email provider, such as Hotmail or Gmail; you will have to scan your document to your computer and attach the file manually. Confirm that you have the latest version of your scanner's drivers and application software by downloading installers directly from the HP website; see Resources below. For best results, clean your scanner glass prior to operation. Use a dry cloth or lightly-moistened sponge.

  • Avoid using any abrasive cleaners on your scanner glass. Do not apply any cleaning solution directly to the glass surface, as it may seep under the edges and damage the scanner's internal components.
