How to Edit Documents Scanned on an HP 4100 Scanner

  1. Step 1

Scan the document with your HP 4100 Scanner. The HP 4100 Scanning Director will appear on the application portal screen. You will be prompted to choose what type of document you will be scanning, where you'd like to save the file location, and whether the text should be deemed editable or not, click on the radio button that enables you to later change the file's format for OCR editing.

  2. Step 2

Access the scanned document's file location on your computer. Right-click on the document once in order to highlight it. When the drop-box menu appears, click on the "Open With" option and select "Paint". If you do not see the Paint program, click on the "Choose Default Program" option and click "Browse". Locate the "Paint" program and click on it to open your scanned document.

  3. Step 3

Convert the scanned document to an editable format using the Paint program. When the document loads in your paint program, click on the "File" icon and select "Open" navigation menu. Select "Save As" in the drop box menu. Save the file as a .tif file in order for the text with the file to be editable. Click "Save" to permanently change the file format extension.

  4. Step 4

Open the Microsoft Office Document Imaging application. You will need to collapse some of the sub-folders within your Microsoft Office program to locate this internal application.

  5. Step 5

Click the "Start" icon on your computer's desktop screen, click on your "Search" tab at the bottom of the drop box menu. In the Search application data form, type "C:\Programs\Microsoft Office\Microsoft Office Tools\Microsoft Office Document Imaging". Click Search and open the program.

  6. Step 6

Load your scanned document into the Microsoft Office Document Imaging application. Click "File" and "Open" in the Document Imaging application. Access the file and run your OCR software editorial tool to apply it to the document. The OCR tool will have an icon on your Document Imaging tool bar. The document will now flash twice to configure the command. You will now be able to edit the document.

Tips & Warnings

  • Use this tool responsibly. Do not alter documents that should not be tampered with. Be sure your Microsoft Office Tools has OCR pre-installed before attempting to load edit the file.
