Open MS Outlook and click the "Calendar" option.

Click on the "New" button, just under "File" and then choose the "Categorize" button. This is symbolized by a square comprised of four squares (red, orange, green and blue). Navigate to the bottom of the menu and choose "All Categories."

Rename your categories to words that make sense to you by clicking on one of the colors, clicking "Rename," and then giving it the title that you would like. For example, on your calendar, you could assign the red category as "important," the green category as "personal," and the blue category as "work related." When you are finished, click "Ok."

Go back to your calendar and add an appointment by clicking on the date you'd like to add it to. Enter a subject, location, and start and end times. Then categorize it by clicking on the "Categorize" button and choose the color that best fits the appointment. For example, as a subject, you can enter "Meet with Staff" in the Conference Room on March 10, 2009, at 2 p.m. The category would be blue since this appointment is work related.

Click "Save and Close." The appointment will now show up on your calendar, highlighted in whatever color you've assigned it.

Tips & Warnings
You can add new categories by clicking "Categorize," "All Categories," and clicking on "New." Give your new category a name, assign a color and click "OK." Click "OK" a second time on the "Color Categories" menu.
