How to Mail a Merge Letter
Mail merge is an easy way for businesses to create official correspondence and marketing materials to send to clients and business partners. Various software applications such as Mac Word, Lotus, Access and Microsoft Word can be used to create a mail merge. The following steps walk you through creating mail merged letters using Microsoft Word.

Create data sources. Open a blank Microsoft Word document. Click "Tools," "Letters and Mailings," then "Mail Merge Wizard." Under "Select document type," choose "Letters." Then click "Next: Starting document."

Identify the type of document you will merge under "Select starting document." Choose from "Use the current document," "Start from a template" or "Start from existing document."

Select data sources. Click "Next: Select recipients" in the bottom right of the pop-up box on your computer screen. Identify the data source you will use for the merge under "Select recipients." Click on the relevant button to "Use an existing list," "Select form Outlook contacts" or "Type a new list." Load an existing recipients' data source list by clicking "Browse" under "Use an existing list." Locate the file of recipients on your computer, then click "OK" to upload the file.

Create the letter. Click "Next: Write your letter." Click "Enter" on your computer keyboard to leave space for the merged items at the top of your merge letter template. Type the date. Click "Enter" six times to leave enough room for the recipient's address and a greeting. Type the body of your letter. Click "Save.": If you have previously created the letter, locate the template on your computer. Click "OK" to upload the letter you will use in the merge.

Select "Greeting Line" to insert a greeting at the top of each letter. Click "Address block" to insert each recipient's address into the merged letters.

Set the document to print. Click "Next: Preview Your Letters," then click "Next: Complete the merge." Select the printer to send the letters to then click "OK."
